Features
Everything Comp World does
From the first entry to the last report sheet. All 60 features below are included in one $59.99 USD fee per competition.
New this season
Launched in the last few months
- New Enter in the app or any web browser Competitors and parents enter in the free Comp World app or in any web browser, with nothing to install.
- New Competitor passes Charge a pass per competitor, on its own or with an admin fee, and give each one a printable QR pass your door team scans.
- New Different criteria for each section Create scoring sets and choose which sections use each, such as Technique for ballet and Groove for hip hop.
- New Placements by score Give a placement to everyone who reaches a score, like Gold from 85%, on its own or after your top places.
- New Reminders before you’re on A reminder 20, 10 or 5 minutes before your entries, or your favourites, go on stage.
- New Refund everyone in one go Cancelled a competition or a section, or moved the dates? Refund everyone affected in one batch.
Setting up
Build the competition at your own pace. Nothing is charged until you publish it for entries.
How to run a competition-
Free until you publish
Sections, fees, the schedule and the judging set-up can all be built in a draft that costs nothing and never expires. The once-off fee is charged only when you publish the competition for people to enter.
-
Duplicate last year
Running it again next year? Duplicate the competition and its sections, fees, awards and settings come across. Change the dates and you are ready to publish.
-
Competition groups
An organisation that runs several competitions, such as a festival with more than one event, can run them as a group: shared registration details, fees and payment account, one combined sales summary, and managers invited to help with the competitions they look after. Comp World sets a group up for you on request.
-
Test Mode
Test Mode makes a private copy of your competition, filled with about twenty sample competitors and royalty-free music and moved to start today. Every tool works in it, so you and your volunteers can rehearse the music player, the Judge Tool and releasing results before the day. Sales are off, no money moves and nothing reaches a real competitor.
-
Verify payments once
Payments go through Stripe into your own account. Verification carries across every competition you run in the same country, so the next one takes payments the moment it is published.
Sections and entry rules
The rules live on each section, so an entry that breaks them cannot be made.
Competition registration software-
Sections and age groups
Every section carries its entry type (solo, duo, trio or group), age limits, entry fee, entry cap and how long one performance takes. An entrant who has aged out, or a section that is full or closed, simply cannot be entered.
-
Heats and placings-only judging
A section can be performed all together: entrants dance at once in heats, and the schedule, the music player and every screen work heat by heat. Judges can place the top entrants instead of giving marks, and the placings are combined into one result.
-
Waitlists
A full section takes a waitlist instead of turning people away. When a place opens you invite the next entrant, and they get a link to finish their entry and pay.
- New
Combine sections
Sections with only a handful of entries can be combined into one in a single step. Every entry moves across with its music and payment attached.
-
Competitor or host music
For each section, choose whether every competitor uploads their own backing track with their entry or the host supplies the music for the whole section.
-
Entry restrictions by location
A competition for one region or school district can be restricted to people from there. Each entrant confirms they qualify as part of entering.
Entries and payments
Everything you need from a competitor arrives with the entry, paid for.
Competition registration software- New
Enter in the app or any web browser
Competitors, and parents entering for them, can enter in the free Comp World app for iOS and Android or straight from a web browser on any phone, tablet or computer. Entering, paying, uploading music and completing entry tasks work the same either way, and nobody is made to download anything.
-
Online payments
Entries are paid for as they are made, through Stripe, and the money goes to your own Stripe account. There is nothing to invoice and nothing to chase, and you keep every entry fee in full.
-
Pay by bank transfer
Payers who settle by invoice, such as a dance studio entering many students, can choose bank transfer: the entries are made now and the invoice is paid by bank transfer afterwards. Comp World switches it on for a competition on request.
-
Discount, early-bird and late-entry codes
Give discount codes, a percentage or a fixed amount, to schools or returning families. Let chosen people enter before registrations open with an early-entry code, and accept entries after they close with a late-entry code. Codes can be limited by date, number of uses or sections.
-
Optional extras
Sell optional extras, such as a programme or merchandise, each with its own price, quantity limit and deadline. They can be bought with an entry or on their own, and you see who bought what.
- New
Competitor passes
Charge a pass per person entered, once however many sections they dance in, with every group member included. Design the pass beside a live preview and each competitor gets it in the app and by email as a printable PDF with a QR code. Your door team scans passes with the same Scanner Mode they use for spectator tickets. A free pass works for check-in alone, and an administration fee can be charged instead or as well.
-
Waivers
Write one or more waivers of your own and switch them on. Each entrant e-signs online as a task after entering, and can email the signing link to a parent. You see who has signed and download the signed PDFs.
-
Entry tasks
Music uploads, duo and trio partners, group members and anything else you ask for are collected as part of entering. Competitors see at a glance what each entry still needs.
-
Emergency contacts
An emergency contact name and phone number is required once per account before entering, and you can look it up for any competitor entered in your competition.
-
Sponsors and donations
Give each sponsor a profile with their logo, a few words and their social links, shown on your competition. Entrants can also add an optional donation when they enter, with a minimum you set.
- New
Cover the service fee
A small service fee is added to each registration and ticket and paid by the buyer. You can choose to cover it instead, separately for entries and tickets, so payers see exactly your listed price.
- New
Refund everyone in one go
If a competition is cancelled, its dates change, a section is cancelled or an entrant withdraws, refund every entry payment and ticket order affected in one batch, seeing the exact cost before you confirm. Entries are withdrawn, tickets voided and every payer emailed. Refunds come from your own Stripe balance as it allows; in New Zealand you can top up a shortfall by card so they go out at once.
Keeping everyone informed
Tell the right people the right thing, and know that they got it.
-
Messages by push and email
Send a message to every competitor, one section, a filtered list or a single competitor. It goes by push notification, email and the in-app inbox, and the email goes even to people who have turned app notifications off.
- New
See who read your messages
Every message lives in the Communications tab, showing who it reached, whether it went by push or email, and who has read it in the app.
- New
Know when places open up
Hosts are emailed when someone joins a waitlist or a competitor scratches an entry, so you know when a place may be free to offer. Each alert can be switched off.
-
Names stay private until the schedule
Nobody sees the list of other competitors, entrants included, until you publish the schedule. Families see only their own entries before then.
Scheduling
Build the running order once, and every screen and phone reads from it.
Competition scheduling software-
Drag-and-drop schedule
Drag sections into the order you want across several days and rooms. Breaks and prize-givings sit in the schedule as real time slots, and each section’s length follows its entries and performance time, so moving one recalculates everything after it.
-
A personal schedule for every competitor
Publish the schedule and every competitor sees their own performances and times. When a time changes, the entrants affected are told by push notification and email.
-
Public live schedule
Put a QR code up at the venue and anyone can follow the live running order and released results on their phone, with no login and nothing to download.
-
Times in the venue’s time zone
Every competition time is shown in the venue’s own time zone, so a host or family looking from another country still sees when things really start.
Spectator tickets and the door
Sell tickets from a link and scan them from a volunteer’s phone, with no separate ticketing site.
Competition ticketing software-
Your ticket types and prices
Set up as many ticket types as you need, each with its own price, limit and the days it is valid, and choose when sales open and close. You keep 100% of the ticket price.
-
No account needed to buy
Share one link or QR code and spectators buy straight from their phone’s browser with no account. Comp World app users can buy in the app, where tickets wait in My Tickets.
-
Tickets by email
Each ticket is emailed as a PDF the moment the buyer pays, carrying your competition logo and a scannable QR code.
-
Scanner Mode
Invite volunteers to Scanner Mode in the Comp World app and they scan tickets and competitor passes from their own phone. It catches duplicates and knows which day each ticket is valid for.
On the day
Press play and the running order moves on every screen and phone at once.
See the on-the-day tools-
Live Music Player
Every uploaded track plays in running order, levelled to a consistent volume and downloaded to the playback laptop beforehand, so the music keeps going if the venue Wi-Fi drops. Pressing play stamps the real start time and moves the schedule, the screens and the Judge Tool on together. Track check-in, and skip or scratch performers on the fly.
-
Live Monitor
Backstage, the team sees who is on now and who is up next, and taps to mark performers as ready, which shows on the music player. Switched to audience mode, the same screen becomes a clean public display.
-
Stage Lineup Display
A screen for the hall or the foyer showing the current section and the stage order, updating itself as the day moves.
-
Rehearsals Player
Arrange competitors into rehearsal groups, each with a start time, and play their own music on stage, usually the day before. It runs apart from the competition schedule and auto-advances so rehearsals stay on time.
-
Running ahead or behind
A badge on the live tools shows how far ahead of or behind the published schedule you are, so the team knows when to hold a break or catch up.
-
Check-in
Competitors check themselves in from the app on their section’s day, and the backstage team ticks off arrivals on the Live Monitor. Check-in shows on the Live Music Player, so the operator knows who is here.
-
Tool links for volunteers
The music player, the Judge Tool, the Live Monitor, the Stage Lineup Display and the Rehearsals Player each open from a link you share and a 6-digit PIN, on whatever device the judge or volunteer brings. There is nothing to install and no account to create.
Judging and scoring
Judges mark on their own devices against your criteria, and the arithmetic is done once.
Competition scoring software-
Judge Tool
The Judge Tool shows each judge the competitor on stage now. They score against your criteria and type comments or record spoken feedback, and every mark saves as it is entered.
-
Several judges, scoring independently
Any number of judges score the same section independently, with no judge seeing another’s marks. You choose whether their marks combine as a total or an average, and how placements are ranked.
-
Who judges what
Each judge can judge everything, certain days or certain sections, with a separate exclusion list. That is how a conflict of interest is handled: day two only, except sections 2 and 4, with a substitute judge for those two.
- New
Different criteria for each section
Create named scoring sets, each with its own criteria, and choose which sections use which: judge ballet on Technique and hip hop on Groove in the same competition. Every other section uses your default set.
-
Weighted criteria
Give each criterion a percentage so, for example, technique counts for more than costume. Each scoring set carries its own weights, and totals, rankings and report sheets all use them.
-
Check scores before release
Results stay private while a section is judged. Before you release them you can review every mark and correct any judge’s scores or placements, and a release can be undone.
Results and awards
Placements are worked out as marks arrive and reach every competitor the moment you release them.
See results and report sheets-
Results when you release them
Releasing a section sends its placements, scores, report sheets and judge feedback to every competitor in it at once. Nothing is visible until you choose.
- New
Placements by score
Award placements to everyone who reaches a score you set, such as Gold from 85% and Silver from 75%, instead of only to the top few. Or give your top places first and score bands to everyone after them. You name the placements, so Platinum and High Gold work too, set the percentages, and can still change any placement by hand.
- New
Hide scores, show placements
Switch scores off for competitors and they see their placement and the judges’ written and spoken feedback with no numbers anywhere, report sheet included. Published results are listed by placement, so the order does not give the scores away.
-
Report sheets
Each competitor’s report sheet collects their scores, placement and judge comments, and arrives in the app with their results as a PDF. You can export full results to Excel, download audio feedback, and print blank report sheets for judges who mark on paper.
-
Awards and trophy recalls
Link trophies and perpetual awards to sections and placements, and their holders are worked out from the released results. Set a return-by date and drop-off details, recall trophies by email and push, and track each one from awarded to recalled to received.
-
Special awards
Create competition-wide awards such as Highest Score or Most Promising and give them to any competitor, separate from section placements.
-
After-comp report
When the competition ends, a report appears showing the money collected and where it came from, who took part (scratches, no-shows, schools and age groups), how the day ran against the planned times, and results by judge.
For competitors and parents
Free for competitors, parents and spectators: entering, the schedule, reminders and results.
Get the free app-
Free for competitors
The Comp World app is free on iOS and Android. Competitors and parents find competitions, enter, follow the schedule and receive results and judge feedback in one place.
- New
Favourites and alerts
Favourite a competition, a section, a competitor or a schedule break. A favourite competition brings an alert before entries open and on the last day to enter, and when tickets go on sale or the schedule is published. A favourite section brings its results.
- New
Reminders before you’re on
Competitors get a reminder before their own entries go on stage and before anything they have favourited does, and choose whether it comes 20, 10 or 5 minutes ahead. The timing follows the live running order, so a late-running day reminds them later.
- New
New competitions near you
Pick a whole country, some of its regions, or a place and a distance from it, and get told whenever a new competition is published in that area.
- New
One inbox for everything
Messages from hosts and every alert sit in one inbox in the app, and competitors choose what they hear about and how.
See it on a real competition
An hour on a call shows you all of it
A Comp World expert walks you through the whole platform, including the on-the-day tools running live. Or build a draft competition for free and only pay when you publish it.
